TradeAdmin is designed to make the admin side of trade work simple. The tradesman speaks to the customer, gets the job details and gives a price. From there, the office takes over.

We chase leads, send invoices, collect deposits, confirm bookings, manage customer follow-ups and help get jobs over the line.

The main idea

The tradesman does the work. TradeAdmin handles the office admin.

Instead of the tradesman spending evenings chasing leads, deposits, invoices, confirmations and final payments, TradeAdmin gives them a simple office process that keeps work moving.

1. The tradesman takes the first call

The customer contacts the tradesman by phone, WhatsApp, website enquiry or referral. The tradesman has a quick conversation, gets the job details and works out the price.

2. The office takes over

The tradesman can say: “That’s no problem, the office will send over the invoice and booking details.” They send the details to TradeAdmin and get back to work.

3. We get the job over the line

We contact the customer, confirm the job, collect the deposit, arrange the booking, confirm the customer before the job and collect the final balance when the work is complete.

We chase leads so you do not have to.

A lot of trade work is lost because leads are not followed up quickly enough. Customers enquire, ask for a price, then move on if nobody gets back to them properly. TradeAdmin helps stop that.

We follow up enquiries

If a customer sends a message, quote request or missed call, TradeAdmin can follow up and move the conversation forward instead of letting the lead go cold.

We keep the customer warm

We contact the customer professionally, confirm what they need, explain the next step and make sure they know the job is being handled.

We help close the job

Once the tradesman gives the price, we follow up with the official invoice, deposit request and booking details to help turn the enquiry into confirmed paid work.

Customer contacts the tradesman

The customer gets in touch by phone, WhatsApp, enquiry form or referral. They explain the job they need done.

Tradesman has a quick call

The tradesman asks the right questions, understands the work, gets the address and works out the price or estimated price.

Tradesman hands it to the office

The tradesman can say: “The office will send over the official invoice and booking details.” This makes the business feel more professional and removes admin pressure.

Job details are sent to TradeAdmin

They send us the customer name, phone number, email if available, job address, job description, total price, deposit amount and preferred job date.

We contact the customer

We call or message the customer, confirm the details, send the official invoice and collect the 50% deposit on behalf of the trade business.

Booking is confirmed

Once the deposit is paid, the job is confirmed and added to the schedule. The tradesman knows the customer is serious.

Tradesman completes the job

On the day, the tradesman carries out the work. When the job is finished or nearly finished, they let TradeAdmin know.

We collect the balance

TradeAdmin calls the customer, confirms the work is complete and collects the remaining payment before the tradesman leaves site.

Customer journey

Professional for the customer.

The customer gets a proper office experience. They know who is contacting them, what they are paying, when the job is booked and what happens on the day.

Before the job is booked

The customer speaks to the tradesman first. Once the job is priced, TradeAdmin contacts them on behalf of the trade business with the official invoice and payment link.

Deposit and booking confirmation

The customer pays the agreed 50% deposit. Once paid, their job date is secured and the booking is confirmed.

Day-before confirmation

The day before the job, we call the customer to confirm access, timing, that the property is ready and that the tradesmen will be on site the following day.

Completion and final payment

When the tradesman finishes, TradeAdmin calls the customer, confirms the work has been carried out and collects the final balance before the tradesman leaves.

Expenses and weekly reporting

Receipts, payments and profit made clear.

On selected packages, TradeAdmin also helps keep expenses organised so the tradesperson can see what is coming in, what is going out and which jobs are making the most profit.

Send receipts as you go

The tradesman can send material receipts, supplier invoices or fuel receipts by WhatsApp, email or upload. We organise them instead of letting them build up in the van, phone gallery or glove box.

Weekly money in / money out

At the end of every week, the key figures are made clear: invoices sent, deposits collected, balances paid, outstanding payments, expenses logged and money in versus money out.

Ready for the accountant

Receipts and expense records are kept organised so the accountant is not dealing with missing paperwork, screenshots, loose receipts and last-minute panic.
